We process the following personal data through our Discord bot and website:

  • Discord User Data: Discord ID, username, avatar (provided via the Discord OAuth2 API)
  • Activity Data: Messages, voice activity, level progress, achievements, active streaks
  • Level & XP Data: XP, level, ranking, and unlocked achievements
  • Achievement Data: Unlocked achievements on our server
  • Partner Data: Partner information and contact details for our partner pages
  • Server Logs: IP address, timestamps, and accessed pages when visiting novaempire.de (where technically required)

3. Purpose of Data Processing

We process your data for the following purposes:

  • Providing and operating the Discord bot and its associated website
  • Displaying rankings, profiles, and community statistics
  • Managing giveaways, partner programs, and special rewards
  • Authentication via Discord OAuth2

4. Legal Basis

Your personal data is processed in accordance with Article 6(1)(a), (b), and (f) GDPR where necessary for providing our services or where you have given your consent.

5. Cookies and Tracking

We currently do not use cookies to store personal information. We only use technically necessary cookies for authentication and, where applicable, local tracking and web cookies required for secure website functionality.

6. Data Sharing with Third Parties

Your data will only be shared with third parties where necessary:

  • Discord: Authentication via the Discord OAuth2 interface. Discord's Privacy Policy applies.
  • Hosting: The website is hosted on a server within the EU.

7. Storage Period

Your activity data (XP, levels, achievements) is stored for as long as you remain a member of the Nova Empire Discord server. Once you leave the server, your data is permanently deleted after a reasonable retention period.

8. Your Rights

You have the following rights under the GDPR:

  • Right of Access (Art. 15 GDPR): Request information about the data we store about you.
  • Right to Rectification (Art. 16 GDPR): Request correction of inaccurate data.
  • Right to Erasure (Art. 17 GDPR): Request deletion of your data where legal requirements are met.
  • Right to Restriction of Processing (Art. 18 GDPR): Request limited processing of your data.
  • Right to Withdraw Consent (Art. 21 GDPR): Withdraw your consent at any time.
  • Right to Lodge a Complaint: You may contact the competent data protection authority.

Data transmitted between your browser and our servers is protected using HTTPS (SSL/TLS) encryption.

10. Changes to This Privacy Policy

We reserve the right to update this Privacy Policy whenever necessary to reflect technical or legal changes. The latest version will always be available on this page.
